Job Summary:

The Field Coordinator is responsible for overseeing and coordinating all project activities in the field, ensuring effective implementation, monitoring, and reporting of progress. Acting as the main point of contact between the field teams and the central office, the Field Coordinator ensures that resources are managed efficiently and transparently, while project goals are met to the highest quality standards.
This role involves managing day-to-day field operations, facilitating smooth communication, and maintaining strong relationships with project stakeholders, including community leaders, local organizations, and government agencies. The Field Coordinator will ensure compliance with organizational standards, donor requirements, and project objectives, while leading and supporting field staff to deliver impactful results.

Key Responsibilities:

1. Project Management and Implementation

  • Oversee and coordinate the implementation of all field-based project activities, ensuring alignment with project objectives, work plans, and timelines.
  • Manage day-to-day operations and logistics to ensure the smooth execution of project tasks and activities in the field.
  • Monitor project progress on-site, identify challenges, and implement timely solutions to address any gaps or delays.
  • Collaborate closely with the Project Manager to adapt project strategies and plans as necessary to meet evolving needs and goals.
  • Ensure compliance with project guidelines, organizational standards, and donor-specific requirements during project implementation.
  • Facilitate the efficient allocation and management of resources, ensuring accountability and transparency in their use.
  • Provide regular updates, feedback, and reports on project progress, challenges, and successes to the Project Manager and relevant stakeholders.

2. Communication, Stakeholder Engagement, and Representation

  • Act as the primary point of contact between the field office, main office, and project teams, ensuring smooth and clear communication.
  • Develop and maintain effective relationships with community leaders, local authorities, government entities, partner organizations, and other stakeholders in the project area.
  • Represent the organization and project in coordination meetings, workshops, and stakeholder forums, ensuring visibility and engagement.
  • Coordinate stakeholder participation in project activities to promote ownership, sustainability, and community empowerment.
  • Engage communities using participatory approaches to ensure their active involvement in project design, implementation, and monitoring.
  • Address concerns, feedback, and suggestions from community stakeholders in a professional and responsive manner.

3. Planning, Monitoring, and Reporting

  • Contribute to the development of field-level project work plans, ensuring activities are realistic, measurable, and aligned with overall project goals.
  • Monitor the implementation of field activities against established indicators and targets, identifying challenges and proposing adjustments as needed.
  • Collect, verify, and analyze field data, ensuring the accuracy and quality of information for reporting and decision-making.
  • Prepare and submit timely and comprehensive field progress reports, including updates on activities, results, challenges, and resource utilization.
  • Support the development and implementation of monitoring and evaluation tools to assess the impact and effectiveness of project interventions.
  • Ensure proper documentation of all field activities, including lessons learned, best practices, and success stories to inform future programming.

4. Field Team Supervision and Capacity Building

  • Supervise, lead, and motivate field-based project teams, ensuring they work effectively to achieve project objectives.
  • Assign clear roles and responsibilities to field staff and monitor their performance against set goals and work plans.
  • Provide ongoing support, mentorship, and capacity-building opportunities to enhance the skills, knowledge, and performance of field teams.
  • Identify staff training needs and facilitate workshops, on-the-job coaching, or external training sessions as required.
  • Foster a collaborative and inclusive working environment that promotes teamwork, accountability, and professional growth.
  • Conduct regular performance reviews and provide constructive feedback to team members, supporting their professional development.

5. Logistics, Compliance, and Resource Management

  • Manage field-level logistics, including transportation, supply chain processes, and operational needs to ensure the smooth delivery of activities.
  • Ensure compliance with the organization's policies, financial procedures, and donor requirements in all field operations.
  • Coordinate the proper use, tracking, and reporting of resources, including project equipment, supplies, and budgets.
  • Ensure all safety and security protocols are adhered to by field teams, addressing risks or issues as they arise.
  • Work closely with the Financial Manager to monitor field expenditures, ensuring that budgets are utilized effectively and efficiently.

Qualifications and Experience:

  • Bachelor’s degree in a relevant field (e.g., social sciences, international development, humanitarian studies, project management).
  • Minimum of 2 years of experience in project coordination, management, or field-based implementation, preferably in the humanitarian or development sector.
  • Strong understanding of project management principles, tools, and techniques.
  • Proven experience in coordinating field teams, managing resources, and overseeing project activities in remote or challenging environments.
  • Demonstrated ability to build and maintain relationships with local stakeholders, including community leaders, government authorities, and partners.
  • Knowledge of community engagement approaches and participatory methodologies.
  • Excellent organizational and time management skills, with the ability to prioritize tasks, manage multiple responsibilities, and meet tight deadlines.
  • Strong analytical and problem-solving skills, with the ability to identify challenges and implement effective solutions.
  • Excellent communication and interpersonal skills, both written and verbal, with the ability to work effectively in diverse, multicultural teams.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other project management tools.
  • Native Arabic with good written and spoken English.
