JOB TITLE: Site Maintenance Assistant

TYPE OF CONTRACT: Service Contract/ SC2

UNIT/DIVISION: Admin

DUTY STATION (City, Country): Sa’ada FO – Yemen

DURATION: One Year

REPORTING TO: Admin Assistant

BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

Perform routine site maintenance tasks to support a safe, comfortable, and reliable working environment.

KEY RESPONSIBILITIES:

1. Furniture and Room Setup:

  • When required, support the FO in the installation, assembling, and/or re-installation of office furniture.
  • When required, work with other relevant teams to Organize office rooms and conference rooms.

2. Inspection, INVETORY and MAINTENAINCE Reports:

  • Ensure that safety standards and regulations are upheld in the office.
  • Conduct routine inspections of equipment and the WFP premises to ensure that all Assets are functioning as required.
  • Maintain records of regular maintenance activities and stores. This includes reports related to fuel consumption and generator maintenance.

3. Support acquisition, monitoring, and execution of Maintenance work through External Contractors:

  • Communicate/report any Maintenance work required within the office to the Supervisor.
  • Work with Contractors to ensure that Maintenance works have been accomplished as indicated in the ToRs.
  • On the accomplishment of any work, present a report of the accomplished works to the Supervisor.
  • Report to the Supervisor and/ or Admin Officer any challenges that could affect the timely completion of the ToRs by the Contractor for the attention of the Admin Team (Engineering) at CO.

4. Preventative Maintenance and Repairs as well as Spare Parts and Tools Management:

  • In liaison with the Supervisor, perform preventative maintenance tasks to maximize asset lifespan.
  • Handle basic repairs and maintenance, such as drainage and plumbing works.
  • Ensure the functionality and safety of fire extinguishers.
  • Respond promptly and professionally to repair requests within the WFP Compound.
  • Conduct regular maintenance for the water network within the WFP compound, and ensure that all water tanks, water dispensers, sanitation systems, and manholes are maintained and cleaned monthly.

5. Solar Panel Cleaning and IT Support:

  • Work with Helpers to Clean solar panels once a week and ensure optimal efficiency.
  • Report and update the admin unit on issues related to the functioning of the Solar power system.
  • Support the IT team in wiring of telephone, and networking.

6. Generator and Electrical Maintenance:

  • Operate, and maintain WFP generators, and solar system solutions.
  • Monitor fuel consumption and maintain proper load management.
  • Perform regular electrical maintenance tasks, such as oil changes, filter replacements, and site cleanliness.
  • Monitor distribution units and ensure effective switching between electricity/ power sources.
  • Ensure effective connection and disconnection of high-rate machines and office equipment such as:(ACs, Water heaters, etc).
  • Maintain a clean and neat office environment, especially after conducting maintenance and/ or repair works.

7. Fuel Station Management:

  • Handling the fuel station at the WFP compound.
  • Dispense fuel using approved order slips.
  • Prepare weekly reports to update the Admin Unit on fuel usage and stock levels.
  • Maintain effective documentation and records of fuel for vehicles and generators: including archiving order slips.

8. Other related tasks:

Support helpers/gardeners to ensure that the office is well cleaned and organized for creating a neat and pleasant environment.

Manage the store of Stationery and Cleaning Materials and the consumptions daily:

l. Provide written requests for materials and keep detailed reports on storage and usage of these materials.

ll. Releasing the stationery and cleaning materials by using the related forms.

STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE:

Education: Completion of secondary school education.

Experience: Two or more years of related experience in site maintenance and basic record keeping.

Knowledge & Skills:

  • Knowledge of simple machine operations and use of cleaning materials/ solutions.
  • Ability to operate and maintain equipment and supplies in good working order.
  • Knowledge of safety precautions.
  • High sense of responsibility and punctuality.
  • Honesty and integrity.
  • Ability to work in a multicultural environment.
  • Ability to work in a team.
  • Ability to work in all weather conditions.

Language: Fluency (level C) in both English & Arabic.
