Job title: CARM Assistant

Location: Sheba Youth Head Office (Taiz City) 

For: Sheba Youth Foundation for Development.

I.    Introduction 

Sheba Youth Foundation for Development (SYF) is a civil society organization led by youth and women who work in a team spirit to empower youth and women to actively participate in development and peacebuilding in Yemen with a real vision of a stable society in which youth and women enjoy peace, development, and sustainable coexistence.

II.    Job Purpose

The Community Accountability and Reporting Mechanisms (CARM) Assistant is a key position that will assist Sheba Youth Foundation in Taiz, The CARM assistant will contribute towards the purpose of SYF CARM system to make programs more accountable, transparent, and responsive to citizen’s views and needs. Working under the CEO ,the CARM Assistant will plan and conduct sessions to create awareness on CARM purpose, platforms and access among stakeholders that include community members, local leaders, and partners. He/she will receive, classify, assign and follow-up on actions for suggestions, complaints and feedback received from communities.
To support the implementation of the Complaints and Response Mechanism (CARM), ensuring effective handling of feedback and complaints related to peacebuilding and mediation projects.

III.    Responsibilities 

  • Help maintain and operate the CARM system, ensuring it is accessible and user-friendly.
  • Accurately log all complaints and feedback received, ensuring they are tracked and addressed promptly.
  • Work with various departments to ensure complaints are investigated and resolved in a timely manner.
  • Keep complainants informed about the status of their complaints and the actions being taken.
  • Compile regular reports on the types and outcomes of complaints received, identifying trends and areas for improvement.
  • Regularly review CARM activities to ensure adherence to internal policies and procedures.

Coordination and Reporting:

  • Coordinate closely with filed teams in planning to ensure he/she aware of all field activities being implemented. 
  • Prepare regular activity reports including training, CARM feedback received and field monitoring visits.
  • Support the CEO in analyzing the CARM suggestions and complaints received and preparing monthly reports.
  • Ensure accurate and safe filing of all program documents.
  • Contribute to the documentation of CARM lessons learned and success stories.

Team performance

  • Actively participate in team tasks to ensure effective performance.
  • Regularly provide feedback to the team to ensure responsiveness of CARM to changing context and concerns from communities.

IV.    Job Requirements

Education and Experience:

  • Bachelor’s degree in Monitoring and Evaluation, Social Sciences, Statistics, International Development, or a related field.
  • Proven experience for at least 3-5 years in monitoring and evaluation, data collection, or fieldwork within the nonprofit or development sector is preferred but not required.

Skills:

  • Strong data collection and analysis skills, with proficiency in using data management software (e.g., Excel, SPSS).
  • Excellent written and verbal communication skills, with the ability to clearly present findings and recommendations.
  • Strong organizational skills, with the ability to manage multiple tasks and meet deadlines.

Working Conditions

  • This job is based at the Sheba Youth Foundation – Taiz office and may require occasional travel for field activities.
