Job Description:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The successful candidate will play a crucial role in supporting our operations by efficiently managing various administrative tasks. This role requires excellent communication skills, multitasking abilities, and a proactive approach to problem-solving.
Responsibilities:
- Listing properties on property portals via CRM systems.
- Monitoring the availability and inventory of properties, ensuring accuracy and completeness.
- Coordinating with real estate developers to request marketing collateral and necessary documentation.
- Organizing and maintaining digital assets, including filing and taking backups.
- Updating permits and broker cards via the Trakheesi website.
- Conducting cold calls to potential clients and leads.
- Managing the order and inventory of office stationery and pantry supplies.
- Handling bills, invoices, and expenses, and liaising with the accountant as required.
- Filing documentation related to sales or lease transactions, ensuring completeness and accuracy.
- Assisting in the registration process with real estate developers and property portals.
- Managing WhatsApp groups for internal communication and client updates.
- Ensuring the accuracy and quality of property listings before publishing.
- Managing office equipment access such as printers, wifi, and biometrics, and liaising with the IT team for troubleshooting.
- Assigning and retrieving laptops, tablets, and mobile phone access cards for new and departing employees.
Skills
- Proven experience in administrative roles, preferably in the real estate industry.
- Proficiency in CRM systems and familiarity with property portals.
- Excellent communication skills, both written and verbal.
- Strong organizational and multitasking abilities, with keen attention to detail.
- Ability to work efficiently under pressure and meet deadlines.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Bachelor’s degree or equivalent qualification preferred.
- Fluency in English; knowledge of Arabic is a plus.
- Ability to adapt to a fast-paced and dynamic work environment.
