Job Description

Administrative Assistant (WASH) 

  • Location: Sana'a & Hodeidah\ Ad Durayhimi and Bayt Al Faqih Districts - Hodeida Governorate (with regular travel to other sites).
  • Period: 9 months, renewable subject to performance.
  • Duty Station: Life Makers Meeting Place Organization (LMMPO), Sana'a – Hodeidah -Yemen.
  • Terms: Full Time Position (8 Eight hours per working day), with field visits to the work sites.
  • Classification: Programs & projects Management.
  • Expected start Date: As soon as possible.
  • Job grade: - Fifth degree.

LMMPO is keen to have a competent candidate to fill the position of Administrative Assistant - WASH

Purpose/Scope of the task

Manages the main and sub-tasks of his job in the project in addition to the administrative supervision of the work team within the project work plan.

Accountabilities & Responsibilities

1.    Performs all the needs assistance required by the project manager and as per his or her job detailed description for all the project activities. 
2.    Duties include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. 
3.    Coordinates workshops and meetings.
4.    Other tasks required by the project management in the (Head and field office).
5.    Provide direct support in the logistics, administrative and operational tasks related to the implementation of the project’s activities
6.    Provide support to the project manager in the day-to-day implementation of the project activities 
7.    Provide direct support in monitoring the project activities and capturing results
8.    Provide support to the Manager in the day-to-day monitoring and evaluation of the project activities
9.    Ensure project files are kept updated with the most current information; processes incoming documentation from partners.

11.    Meticulously name and classify each file/document digitally, to ensure easy access
12.    Attend meetings with partners and takes minutes;
13.    Ensure documents requiring a signature are approved and processed in a timely manner;
14.    Follow-up on any missing documents and makes sure that all required documents are fully completed by creating an excel sheet database (Checklist) – to ensure proper follow-up and to report any missing documents;
15.    Receive and collect documents related to the project activities and maintains an accurate and complete filing system electronically and in hard copies.
16.    Carrying out any work assigned to him by the direct responsible for the project.

Qualifications and Skills 

Study and Training:

  • A bachelor’s degree or equivalent certificate/diploma or similar qualification from a recognized establishment or equivalent experiences.

Experience & Skills:

  • At least 2 years’ professional experience in a comparable position including extensive fieldwork.
  • Excellent interpersonal and problem-solving skills.
  • Ability to communicate clearly, concisely and effectively.
  • Ability to work in multi-disciplinary and multi-cultural contexts.
  • Proven ability of using office project system.
  • Interpersonal and communication skills.
