- Duration of Contract: 5 months / The cost of work is lump-sum, non-incapable and the employee liability does not end except with the closure of the project.

I. Background
The Humanitarian Development Program (HDP) is a nonprofit and independent NGO in Yemen. It focuses on improving the quality of Yemeni people’s life through well-planned and comprehensive projects in WASH, education, Food security & livelihood Shelter, CCCM, Protection, health and related activities that strengthen underserved communities in all parts of Yemen with the flexibility to respond rapidly to emergencies.

HDP defines the program’s commitment to the protection from sexual exploitation and abuse (PSEA) of vulnerable adults, involving HDP Employees and Related Personnel. In recognition of the special vulnerability of children, also HDP affirms commitment to the welfare and protection from sexual exploitation and all forms of abuse of children, involving HDP employees and related personnel.
Procurement Assistant is responsible to support logistics department under the direct supervision of the Logistics Officer in order to support the implementation of the project activities on a timely and good quality basis, and in compliance with HDP procedures and donors’ guidelines.
Summary of the project
The School Kitchen project aims to provide healthy and proper school nutrition for male and female students. The project targets 15,000 students in 20 schools in Taiz Governorate - Salah and Al-Mudhaffar Districts and is funded by the World Food Program (WFP) and partnership with Haeel Saeed Anam (HSA).
Duties and Responsibilities
Under the direct supervision of Procurement Officer, the Procurement Assistant, will undertake the following tasks:
He/She assists the Logistics Officer in the good management and documentation of all the supply chain activities in order to provide the means for programs’ implementation on a timely and good quality basis, and in compliance with HDP procedures and donors’ guidelines.

Collect the quotations to prepare all Procurement Documentation and submit to the Logistics Officer

جمع عروض الأسعار لإعداد جميع وثائق المشتريات وتقديمها إلى موظف اللوجستيات.

Ensure filing and maintenance through the proper record, keeping and safety of all logistics files and supply transactions (PRs, quotations, Bid Analyses tenders, requisitions, purchase order forms, goods received notes, receipts, waybills, and all other documents) both electronically and manually as may be required for audit trail.

Ensure all suppliers' invoices are delivered on time for the payment process, copy all payments before forwarding to finance for processing.

Assisting To keep records of and maintain contacts with suppliers and local repair/maintenance shops, and to conduct price comparisons among them, in order to get the best deals.

Liaise with the Logistics Officer to ensure a proper forecast of needs for project procurement at Marib.

Receipt of materials from suppliers and matching of invoices with the purchase order for the materials supplied.

Continuous follow-up of daily supplies of food to the school kitchen.

Ensure the tracking of the assets/equipment from one location to another or one user to another
|
ضمان تتبع الأصول/المعدات من موقع إلى آخر أو من مستخدم إلى آخر، واجراء عمليات التتبع لذلك.

Keep updated reliable filing system for all the goods received.
|
الاحتفاظ بنظام ملفات موثوق به محدث لجميع البضائع / المعدات/ الأصول التي تم استلامها او شراءها .

Perform any other related tasks as required, as assigned by the line manager.

II. Education and Experience
- University degree in Business Administration, Finance or related field
- Minimum of three years’ experience in Similar positions in I/NGOs.
- Considerable knowledge and experience in Logistics, Transport management, contracting, and property management.
- Advanced knowledge of Microsoft Office (Word, Excel, Outlook) is a requirement.
- proficiency of both English and Arabic.
