Context
Working under the overall supervision of the Procurement and Logistics Officer and the direct supervision of the Supply Chain Officer, the incumbent will be responsible for carrying out procurement, logistics and asset control functions in accordance with IOM’s regulations, rules and procedures. In particular s/he will:
Responsibilities
- Assist in coordinating insurance coverage for all Programme assets in Aden and other Field office and follow up on any claims that may arise as well as on asset disposal in line with IN/43 Asset and Insurance Policy.
- Assist in monitoring Aden office and other field offices and relevant units comply with asset inventory policy and registration of all newly purchased assets through PRISM.
- Conduct regular updates to PRISM asset data in line with asset movement and changes.
- Ensure that all assets being assigned to staff are labeled, tagged, using proper asset formats and update all records in PRISM accordingly.
- Delete/ retire all broken/ beneficiary assets upon necessary approval from System.
- Manage the storage facilities, monitor, distribute and replenish stock whenever needed, ensure accuracy of records regarding assets disposal; ensure assets are located accordingly and used in IOM’s best interest.
- Ensure the full compliance of asset control and logistics activities with the IOM’s rules, regulations, policies and strategies.
- Logistics Coordination: Assist in the coordination of logistics activities, including procurement, warehousing, transportation, and distribution of goods and materials.
- Maintain an inventory of all prepaid SIM cards issued to staff members in Aden.
- Ensure that SIM cards are properly registered and activated according to local regulations.
- Coordinate with mobile network providers to facilitate the recharge process.
- Maintain records of all recharge transactions, including dates, amounts, and recipients.
- Inventory Management: Regularly check and update inventory records to ensure accurate tracking of all office supplies and materials.
- Maintain a proper record of repair, maintenance of office equipment and submit monthly report.
- Maintain a neat and orderly storage area, ensuring that all items are properly labeled and stored in designated locations.
- Restocking: Monitor supply levels and reorder items as needed to prevent shortages.
- Compliance: Adhere to IOM policies and procedures regarding inventory management and storage.
- Perform any other duties as assigned by direct supervisors.
Qualifications
Education
- Bachelor’s degree in Business Administration, Management, Logistics, Procurement or related field with two years or relevant experience in similar position
Or
- Competed Higher Diploma in any of the above fields with four years or relevant experience in similar position
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Experience
- Thorough understanding with two years’ experience with specific focus on local and international procurement, clearing and forwarding,
- Experience on VAT procedures and Government of Yemen laws and regulations,
- Experience with fleet management and insurance policies
- Excellent understanding of inventory, stock and supplies management.
Languages
For all applicants, fluency in English and Arabic is required (oral and written).
