Position: Procurement and Logistics Officer
Location: Multiple Cities

Key Responsibilities
- Evaluating the purchasing and logistical needs of the organization and its projects and supervising the validity of its implementation.
- Prepare and update procurement and logistic support plans for the organization/Projects.
- Ensure that procurement is conducted in accordance with approved policies and implemented efficiently within specified timelines.
- Procurement analysis and advice on purchasing types that can benefit from the main purchase agreements.
- Show the value against the items of purchases.
- Preparing contracts for those who have been attached to bids and follow -up to sign them by the parties concerned.
- Ensuring the demand for adequate and timely quantity for all the resources purchased to ensure the availability of needs and services in the area of operations when needed, including transportation and storage services until delivery to the distribution and delivery point.
- Ensuring the application of the requirements of the donors, rules and regulations related to the 'organization's Procurement guide', local purchasing regulations, donor policies and anti -corruption measures.
- Receive approved purchase applications, ensure accuracy of data and carry out the tasks of external relationships related to purchases.
- Review the purchase documents to ensure their accuracy before paying them.
- Compared and evaluate the offers submitted by suppliers in conjunction with technical and financial analysis committees, preparing the lectures and admission letters and apologies for suppliers.
- Ensure the timely execution of procurement and logistic tasks and oversee all operations.
- Organize the procurement and logistic plan on a daily, weekly, and monthly basis in coordination with organization and project staff.
- Maintaining purchasing files in proportion to the organization's policies and to be ready for financial audit and also evaluation and informing the administration of any violations that need to be dealt with within the framework of its duties.
- Supervising Implementing transport and distribution plans related to the organization's interventions in general and the components of the projects.
- Participate in organizing tender meetings and evaluations.
- Contribute to the preparation and analysis of bids and related documents for approval.
- Participate in reviewing procurement bid analyses to ensure compliance.
- Engage in negotiations with suppliers regarding transparency and documentation
- Review the quality of purchased products and match quantities, specifications and the country of origin for devices, materials and equipment according to the purchase orders and laying statements of tenders and practices.
- Provide support and inputs for new projects and budgets on request.
- Documentation and archiving for all documents and project documents related to logistical support electronically and paper.
- Prepare the chronic periodic work plans for the tasks set above, raise and discuss them with the direct official.
- Ensure that all donor assets and the organization’s assets are correctly identified, classified, and entered into the automated system.
- Ensure that all of the organization’s warehouses are managed in an effective manner and in accordance with the organization’s policy
- Follow up on entering all inventory into the system to ensure that inventory quantities are updated in numbers.
- Any tasks assigned to it by the direct official.
Qualifications and Experiences
- A bachelor’s degree or above in the field of accounting /business management.
- Minimum 5 years of relevant work experience in procurement and logistic field in NNGOs/INGOs
- strong proficiency in purchasing, logistics, and administrative systems in general, such as ERP and others.
- Fluency in both written and spoken English and Arabic.
- Top-tier written presentation and verbal communication skills
- Ability to convey information effectively and solid experience providing training and staff development in English and Arabic.
- Proven sense of professional discretion, integrity, strong ethics and ability to manage delicate situations diplomatically and lead to effective resolution.
- Proven ability to plan long-term, organize priorities and work under administrative and programmatic pressures.
- Highly collaborative and able to establish positive working relationships with senior level management and all other stakeholders to maximize cooperation and productivity.
- Proven ability to lead by example and foster mentoring relationships.
- Very strong proficiency in MS Word, Excel, and PowerPoint is required.
- Desire to continually learn and develop.
- Analytical thinking, service oriented and team player.
- Proven ability to manage large and varied workloads, and deal constructively with stress and periods with long hours.
- Proven ability to prioritize tasks, meet deadlines and work with limited supervision.

- Ability to move between governorates and reside in any governorate according to work needs.
