GENERAL JOB DESCRIPTION
MAIN PURPOSE: The Field Coordinator is responsible for coordinating and implementing project activities at the field level. They serve as a liaison between authorities, healthcare facility administrators, beneficiaries, and the project manager. Their main focus is on ensuring effective coordination, smooth execution of activities, and clear communication among stakeholders. The Field Health Coordinator reports directly to the project manager and dedicates 100% of their working hours to the project. Their role is essential in achieving project objectives and improving outcomes in the target population.
DUTIES & RESPONSIBILITIES
- Support and oversee the implementation of project activities and services, conducting regular evaluations.
- Monthly supervision and monitoring of field activities in targeted health facilities to ensure the quality of services provided.
- Prepare a monthly plan for regular supervision field visits to targeted health facilities.
- Coordinate with local authorities and related health offices in the related districts and governorates and participate in the authorities, GHO, and inter-agency coordination.
- Follow routine data collection and reporting; prepare weekly statistics on reproductive health services (ANC, delivery, PNC, and FP) in related health facilities.
- Follow up on logistic supply and report for medication and medical equipment, supply, and stationery for the project warehouse and targeted health facilities.
- Responsible for coordination and conducting on-the-job trainings for team members and healthcare workers to strengthen their skills in RH service provision.
- Ensure that staff follow standard procedures and protocols, and monitor the quality of performance in health facilities.
- Monitor the rational use of medication and medical supplies in relation to the number of beneficiaries.
- Identify and raise problems and obstacles encountered in health facilities, follow up on their resolution, and report them to project management.
- Identify and raise the actual needs of health facilities, including medicines, equipment, and maintenance, after reviewing them and submitting them to project administration.
- Attend cluster meetings in governorate-related hubs, providing feedback to the project manager on key points.
- Work together with the project manager in developing and tracking work plans and action plans for activities.
- Work together with the Monitoring and Evaluation team to ensure progress towards established indicators.
- Participate in and lead needs assessments; analyze and organize data and information related to targeted health facilities.
- In coordination with the project team, organize and carry out a monthly project review meeting with all quality focal points to discuss the obstacles and challenges in HFs and follow up the activities in the project.
- Ensure monthly regular updates (reports, pictures, and success stories from the field) to the project team in the Sana'a office.
- Follow up on employee nominations, verify the qualifications, including completing the shortage or replacement of unqualified employees, and ensure that there is no duplication in employment.
- Notify project management if there are permits and absences in health facilities with the necessary documents to complete the necessary procedures.
- Adhere to the career hierarchy and respect the authority of the direct manager when raising problems or requirements from the field.
- Follow up on the referral cases and forms from the HFs after reviewing them, completing all requirements according to the referral protocol, and raising them with the project team in the Sana’a office.
- Review the working hours sheets of health workers and submit them to the project team in the Sana'a office.
- Support and follow up the implementation of project activities and services, conducting regular evaluations.
- Coordination with project stakeholders (beneficiaries, communities, local governing authorities) in the related districts and governorates and participates in the authorities, GHO, and inter-agency coordination.
- Monitor the progress of project implementation, provide updates to the project manager, and assist in the field.
- Perform any other tasks as assigned by the program manager and report to the program manager.
Required Qualifications and Skills:
- DEPLOMA’s degree or more in a related field or its equivalent
- At least 1-2 years of work experience in a similar context
- Excellent computer skills, and especially a good understanding and knowledge of Microsoft Office programs.
- Flexible, adaptable, and able to improvise and work in a stressful, volatile environment.
- Experience in representation and interaction with partners and government officials.
- Excellent writer: the ability to develop high-quality reports
- Ability to travel to project sites as needed.
- Strong leadership and the ability to plan with good organizational skills, multi-task, including prioritization, and work under pressure.
- Excellent coordination, reporting, and presentation skills.
