Objectives

The primary objective of this position is to ensure the accurate and efficient collection, management, and reporting of data related to Women and Girls' Support Services (WGSS) activities conducted in safe spaces. This includes maintaining data integrity, supporting decision-making through reliable information, and promoting transparency and accountability in data handling. The role will contribute to enhancing the overall effectiveness of WGSS activities implementation and resource allocation.

Key Responsibilities

  • Data Entry and Management: Ensure day-to-day entry of activities, statistics, and data related to WGSS services provided in safe spaces, maintaining accurate records in databases such as Kobo and ODK.
  • Data Verification: Review and verify data entries related to services provided in safe spaces, making corrections as necessary to uphold data integrity.
  • Data Collection Improvement: Conduct regular visits to safe spaces to enhance data collection processes and address any challenges faced by staff.
  • Reporting: Prepare comprehensive weekly and monthly reports for both external and internal stakeholders, summarizing key findings and statistics related to WGSS interventions.
  • Service Utilization Data Management: Collect and enter data on service utilization by women and girls accessing support services in safe spaces into the designated database.
  • Information Requests: Respond to information requests from project staff, providing basic data analysis and findings on services and trends observed in safe spaces.
  • File Management: Archive and organize files related to WGSS activities in safe spaces properly, ensuring documentation meets established standards.
  • Database Troubleshooting: Identify issues with the database and take appropriate action in consultation with the line supervisor.
  • Filing System Maintenance: Maintain an up-to-date filing system for activity records and documentation from safe spaces for easy access and retrieval.
  • Data Security: Implement appropriate security measures to prevent unauthorized access to sensitive data, in line with organizational regulations.
  • Document Circulation: Photocopy documents for dissemination and circulation as needed, ensuring materials are appropriate for the audience.
  • Additional Duties: Perform any other relevant duties as directed, in line with the grade of the post.

Qualifications

  • Education: Bachelor’s degree or diploma in a relevant field (e.g., Social Work, Public Health, Gender Studies, or related disciplines).
  • Experience: Proven experience in data entry, management, and analysis, preferably in a humanitarian context, particularly in safe spaces.
  • Technical Skills: Proficiency in data collection tools (Kobo, ODK) and databases; strong skills in Microsoft Excel and data management software.
  • Attention to Detail: Strong attention to detail with the ability to identify discrepancies and ensure data accuracy.
  • Communication Skills: Effective verbal and written communication skills; ability to present data clearly to various stakeholders.
  • Organizational Skills: Strong organizational and time-management skills, with the ability to manage multiple tasks efficiently.
  • Teamwork: Ability to work collaboratively within a multidisciplinary team and build relationships with stakeholders involved in WGSS activities.
