GENERAL JOB DESCRIPTION

MAIN PURPOSE: The main purpose of the Data Management Assistant position is to support the efficient and accurate management of data related to BFD’s health, nutrition, WASH, and protection programs. This role involves maintaining and updating various databases, ensuring data integrity, and providing data analysis to inform project decisions and reporting. The Data Management Assistant collaborates closely with the MEAL Team and other project units to synchronize data documentation, improve data management practices, and contribute to the overall effectiveness of BFD’s humanitarian efforts.

DUTIES & RESPONSIBILITIES

Data collection and Management:

  • Accurately input Health Cluster information into the District Health Information System (DHIS) and maintain the Nutrition Cluster Database.
  • Collaborate with the MEAL Team to design and implement specialized databases tailored for primary healthcare services, including Reproductive Health, Immunization, Childhood Illness Management, and Community-based Management of Acute Malnutrition, as well as databases for secondary healthcare services like outpatient care, surgeries, and urgent referrals.
  • Support the creation of databases for protection services such as Gender-Based Violence and Child Protection, working in conjunction with the Data Management and Protection Teams.
  • Record data pertaining to community health volunteers and workers engaged in health, nutrition, and WASH initiatives.
  • Digitize data from physical and digital sources into designated databases.
  • Engage in on-site data gathering, interviews, and validation to ensure data integrity.
  • Regularly update databases with comprehensive details on project operations, geographic locations, survey results, performance metrics, and beneficiary information.
  • Uphold data accuracy through meticulous verification and prompt rectification of discrepancies.
  • Communicate any data inconsistencies to the project team and recommend solutions.
  • Systematically file and manage documents in line with BFD protocols.
  • Execute data backups and actively participate in enhancing data management practices.
  • Liaise with project units to synchronize activity execution and data documentation.
  • Analyze data to inform project reports and strategic decisions.
  • Generate and deliver routine reports, providing weekly, monthly, and quarterly project insights.
  • Aid the Data Management Officer in compiling data narratives for periodic and annual reviews.
  • Contribute to the development of data listings, summary tables, data frameworks, and oversee data exchanges for analytical and audit purposes.
  • Fulfill data inquiries from authorized personnel and conduct elementary data analyses.
  • Coordinate with field sites to verify information for various reports, including infographics, situational analyses, and donor communications.
  • Formulate and execute strategies for data sharing, including the preparation of reports, visualizations, and geographical representations.

Additional Duties:

  • Undertake tasks as directed by the Data Management Officer, Senior MEAL Officer, and MEAL Manager.
  • Remain flexible to work non-standard hours during emergency situations.

Core Humanitarian Standards (CHS): The role holder is required to carry out the duties in adherence to the Core Humanitarian Standards, the values and principles outlined in BFD's policies such as Code of Conduct, Prevention of Sexual Exploitation and Abuse, Child Safeguarding, Anti Workplace Harassment, Fiscal Integrity, Anti-Retaliation and other internal policies and guidelines.

Required Qualifications and skills:

Education:

  • College diploma or certificate in data management or related field, University degree in IT preferred.

Professional Experience:

  • At least 1 year of experience in data entry, data management, or related field

Skills:

  • Proficient in word processing, spreadsheet software programs, and data entry systems
  • Familiar with data quality control and validation methods
  • Attention to detail and accuracy
  • Good communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Ability to work under pressure and meet deadlines
  • Basic knowledge of medical terminology and biology
  • Willingness and ability to travel frequently to project sites and locations, as required.
