Organizational Context and Scope

Working under the overall supervision of the Programme Coordinator (MH), and under the direct supervision of the Migration Health Officer, the successful candidate will be responsible for carrying out the following duties and responsibilities:

Core Functions / Responsibilities

  • Be responsible for all administrative tasks including, but not restricted to, human resources, resource management, procurement, financial management and monitoring for the health programme and prepare monthly updates;
  • Work closely with the procurement department tracking the progress of all procurement requests received from district sub-offices, project managers and central office staff;
  • Work closely with the logistic department to ensure all goods are delivered in a timely manner;
  • Be responsible for the administrative liaison with Human Resources to ensure that the decentralised HR processes are carried out timely and efficiently, whilst also maintaining the tracking matrix for the Unit;
  • Generate and provide reports at weekly team meetings on PRF and PO status and human resources;
  • Make recommendations on best practices for sub-offices and national office on streamlining administrative activities;
  • Perform other related duties incidental to the work described herein;
  • Perform such other duties as may be assigned by supervisor.

Required Qualifications and Experience

Education

  • University Degree in Business Administration, Management, or related discipline from an accredited academic institution with two years of relevant professional experience; or High School diploma with four years of relevant professional experience.

Experience

  • Relevant experience in an administrative, Programme Support, or management field; experience in the International Humanitarian Field is advantageous;
  • High computer literacy in Windows and MS Office (especially Excel) is mandatory;
  • Previous working experience with NGOs or international organizations is an added advantage.

Skills

  • Demonstrated ability to create a team-oriented environment;
  • Knowledge of project proposals and report writing;
  • Knowledge of financial rules and regulations.

Languages

  • For all applicants, fluency in English is required (oral and written).

The appointment is subject to funding confirmation.

Appointment will be subject to certification that the candidate is medically fit for appointment, accreditation, any residency or visa requirements, and security clearances.
