SIF in Aden is recruiting an HR ASSISTANT

Secours Islamique France (SIF), a Non-Governmental Organisation of international solidarity based in France. Founded in 1991, SIF is a non-profit and non-political organisation that intents to help, to bring relief and to protect the lives of those threatened by natural disasters, armed conflicts or by economic collapse. SIF provides its help in respect of the cultural diversity, without any distinction of origin, religion or gender.
SIF established an office in Aden in July 2019 and is currently implementing FSL projects.

SUMMARY OF THE POSITION:

Based in Aden, Yemen. Under the supervision of the Administrative Coordinator, the HR Assistant is responsible for performing all HR-related duties. This position carries out responsibilities in the following functional areas : Recruitment/employment, benefits administration, employee relations, staff training, performance management, policy implementation, and affirmative action compliance with the National Labour Law. He/she is responsible for.

  • Ensure overall HR Operations functions
  • Employee relationships
  • Ensure on time reporting.

ROLES & RESPONSIBILITIES:

Objective 1:HR and Operations Activities:

  • Responsible for all duties related to Human Resources.
  • Assist Admin Coordinator in Strategic Human Resources Planning.
  • Ensure all HR related policies and guidelines, SOP’s and actions are fully complied with the National Labor Law.

Objective 2: Managing Recruitment Activities:

  • Organize and follow up recruitment’s procedures including, RRF Approval, JD Preparation, advertising and short-listing, interviews and tests, selection, job offers, reference checks
  • Prepare contracts and organize Induction of all new employees
  • Ensure that the Yemen’s HR policies, and procedures are communicated to all staff
  • Maintain and follow up the management of the Employee Folders, collect all necessary documents and maintain the employee database.
  • Preparing induction and arranging orientation session
  • Arranging refresher sessions for all staff of HR policies

Objective 3: Handling Grievances Activities:

  • Provide specific advice and guidance to employees on a variety of HR issues.
  • Assist the HR team in the Country Office and field offices.
  • Coordinate and support to national staff regarding staff relations and grievance and disciplinary actions.

Objective 4: Compensation and Benefits Activities:

  • Process and update the monthly Salary data edit the advance, payroll information and ensure all information are accurate.
  • Ensure end of probation/Midterm/annual/end of project evaluations objectives set, appraised and proper records are available in hard and soft copies.
  • Manage staff welfare policies including health insurance claim reimbursement
  • Maintain an effective HR database and filing system, with proper files maintained for each staff member, both manually and electronically while maintaining confidentiality.
  • Maintain a leave tracking system which allows HR to effectively manage leave for all SIF staff.

Objective 5: Reporting Activities:

  • Write a HR report: narrative of activities, Recruitment reports, HR Events, HR organization chart
  • Write Grievances/Disciplinary reports.
  • Sitrep report

This list is not limited; the employee may be required to perform any other task necessary and compatible with its functions assigned by Admin Coordinator.

MINIMUM REQUIREMENTS AND COMPETENCIES

Education

  • Batchelor Degree in Human Resource Management, or Business Administration

Experience

  • Working experience of at least 3 years with experience in international development and non-profit organizations.

Languages

  • Fluent in English and Arabic.

Competencies

  • Good report writing, communication skill.
  • Having strong skill of planning, organizing, prioritizations of task, and anticipation.
  • Having basic technical skill of IT
  • Ability to work under stress and pressure.
  • Very good communication skills.
  • Respect and promote SIF values and mandate, and report to the line manager any non-respect of SIF’s policies amongst the teams or partners.
  • Excellent computer knowledge with command on MS Excel among other packages of MS Office.
  • Knowledge in gender equity, gender equality, Child Safeguarding and perspective.
  • Ability to work independently and under pressure.
  • Excellent interpersonal, organizational, communication and time management skills.
  • Effective under pressure, results oriented and proactive with the ability to multi- task.

WORKING HOURS AND SALARY

  • Full Time
  • Salary will be paid according to the SIF salary grid.
