Job Title: Personal Administrative Assistant
Location: Sana’a

Job Summary:

We are seeking a highly organized and dedicated Personal Administrative Assistant to provide comprehensive administrative support to the executive management. As the Personal Administrative Assistant, you will work closely with senior executives, including the CEO, ensuring their schedules are managed efficiently, handling correspondence, and organizing meetings. This position requires exceptional organizational skills, strong attention to detail, excellent communication abilities, and the ability to handle sensitive information with the utmost discretion. The ideal candidate will be resourceful, proactive, reliable, and capable of multitasking in a fast-paced and dynamic environment.

Responsibilities:

  • Manage the daily schedule and calendar of the executives, including the CEO, coordinating appointments, meetings, and travel arrangements.
  • Screen and manage incoming calls, emails, and correspondence for the executives, prioritizing and responding as necessary.
  • Prepare and edit documents, presentations, reports, and other materials for the executive management.
  • Organize and coordinate meetings, conferences, and events, including logistics, agenda preparation, and minutes recording.
  • Conduct research, gather data, and provide summaries or analysis to support the decision-making process of the executives.
  • Maintain and update confidential files and records, ensuring data accuracy and security.
  • Handle sensitive and confidential information with the utmost discretion and maintain a high level of confidentiality.
  • Assist in the preparation and coordination of board meetings, executive management meetings, and other high-level meetings.
  • Prepare requests, manage correspondence, and ensure timely processing of official documents.
  • Anticipate the needs of the executives, proactively identifying opportunities to improve efficiency and effectiveness.
  • Assist in the coordination of special projects and company-wide initiatives.
  • Handle administrative tasks, such as filing, record keeping, and document management.
  • Maintain office supplies, equipment, and inventory for the executive office.

Requirements:

  • Bachelor's degree in Business Administration, Management Information Systems, or a related field (or equivalent experience).
  • Proven experience as an Administrative Assistant or in a similar role, preferably supporting C-level executives.
  • Strong attention to details and the ability to maintain accuracy in a fast-paced environment.
  • Exceptional written and verbal communication skills in Arabic and English languages, with the ability to interact professionally at all levels.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Proficiency in using productivity tools, such as Microsoft Office Suite, Google Workspace, and project management software.
  • Discretion and the ability to handle sensitive and confidential information appropriately.
  • Adaptability to changing in priorities, deadlines, and working hours.
  • Professional and positive demeanor, maintaining a high level of professionalism at all times.
  • Ability to work independently with minimal supervision.
  • Strong problem-solving abilities and resourcefulness.
  • Previous experience in IT is preferred.
