FHI 360 has been responding to the humanitarian crisis in southern Yemen and along the Western Coast since 2018. Through an integrated health, nutrition, and WASH program, FHI 360 works in Aden, Taiz, and Hudaydah governorates. FHI 360 supports static and mobile health facilities, including rehabilitation, technical support and staff training, and provision of supplies.   FHI 360 also works at the community level through   Community Health Volunteer and water rehabilitation components to reach additional populations. Furthermore, since January 2020, FHI 360 has served as the NGO co-lead for the Aden Sub-Health Cluster. With a country office in Aden and a field office in Al Mokha, FHI 360 has a staff of over 40 national and expatriate staff. 

POSITION OVERVIEW  

The Logistics Officer Mokha shall directly report to the Field Coordinator with a technical reporting line to the Logistics Manager.  The duties shall include, but are not limited to, asset and inventory tracking, warehousing, procurement, fleet management, and other general logistics needs.

KEY RESPONSIBILITIES AND DELIVERABLES

  • Responsible for Receipt of Goods. Checking the quantity and quality of goods received from suppliers and other organizations and reporting any discrepancies or damage immediately.
  • Creates/updates stock cards. Ensures all required information are correctly and entirely recorded on the stock cards. (Product specification, serial number, expiry date, received or issue date, stock balance, in, out and reference number of reception and delivery documents.  
  • Ensures items are properly organized and are correctly stored, well protected, fully identified and are easy to get to (cleanliness, security, access).
  • Responsible for the management and control of “sensitive” goods, expiry dates, and packaging and special storage condition i.e., pharmaceuticals and cold chain.
  • Carries out a physical stock inventory check annually and as needed.  
  • Ensures that an up-to-date filing system for all inventories and assets is maintained.
  • Closely monitors stock levels, especially of pharmaceuticals in collaboration with the pharmacist for monthly usage, expiry dates, excess and possible shortages; liaises with the pharmacist to ensure the minimum stock level and when they are over maximum.
  • Maintains asset register and ensure that an updated assets inventory sheet is maintained on monthly basis.
  • Ensures timely disposal of damaged and obsolete items; generates asset disposal reports
  • Ensures that the movement of assets is tracked, and the necessary documentation is done when an asset changes its status.  
  • Plan movements and vehicles for project travel.
  • Supervise communication with drivers and coordinate movements.
  • In collaboration with the Aden Team, organize cargo movement and reception. 
  • Ensure generators are maintained on time and are serviceable
  • Supervise technician whenever the services are performed
  • Facilitate the availability of generator consumables and fuel ensuring the buffer stock is in place
  • Process procurement requests that may be completed at the field level 
  • Submit payment requests to finance as needed and in coordination with the team in Aden
  • Submit required reporting to the Logistics Manager per the agreed upon timeframe on a monthly basis

APPLIED KNOWLEDGE & SKILLS:

  • Articulate, professional and able to communicate in a clear, positive manner with clients and staff.
  • Provides guidance to other support personnel. Acts as team lead for drivers.
  • Exercises judgment within defined policies and procedures to obtain solutions and perform duties.

DESIRED QUALIFICATIONS

  • University degree in logistics, business management, administration, or similar areas of study
  • At least 3-5 years of logistics and procurement experience in an INGO in a related position
  • Strong organizational skills and attention to detail 
  • Fluent in English language B1/B2 (both spoken & written) preferred
  • Sound understanding of Microsoft Office (Outlook, Excel, Word)
