Job Title: Data Entry Volunteer


Reports To: Data Entry Supervisors


Duration: Between 12 to 21 working days


Location: Aden


Role Objective:


The Data Entry Clerk will be responsible for entering data for the Education and Learning Sustainability project, coordinating with the technical team of the project, and field offices. The primary responsibility is to ensure that the entered data is complete, accurate, and reliable.


Quality Assurance: Data entry clerks must standardize the entered data and ensure that the entered data reflects the aggregated data accurately, and will communicate with supervisors any errors related to the data entry process, and the differences between the aggregated data and the target for each area, in addition to the immediate reporting of technical and logical errors in data entry forms.


Main Responsibilities:


  • Enter project data accurately into the project data entry platform from the original source documents.
  • Carefully verify incoming forms, ensuring that paper or digital requests in the field are readable and complete before entering them into the system.
  • Maintain a steady daily pace to achieve data entry goals and prevent the backlog of unentered field data.
  • Organize and track completed physical/digital forms to ensure no records are skipped or entered twice.
  • Verify data against the integrated validation rules of the form, and identify any entries that break the logic of the system immediately.
  • Count completed entries for each area against the target numbers provided by the administrative information systems officer and report any deficiencies or excesses.
  • Observe and report any errors in formatting, slow upload times, or logical errors in data entry forms directly to the administrative information systems officer.
  • Handle all beneficiary data with complete confidentiality, ensuring that screens are not left unattended and handling files securely.
  • Maintain an organized workspace for data entry to prevent loss or damage to paper field forms.

Qualifications and Experience:


  • Bachelor's degree or diploma.
  • At least one year of experience in a basic administrative role, preferably with a non-governmental organization or local organization or government environment.

Technical Skills:


  • Fast and accurate typing skills for the language (texts/numbers in Arabic and English).
  • Basic knowledge of computer systems, internet browsers, and data entry interfaces (such as KoboToolbox or custom database forms).
  • Basic knowledge of Microsoft Excel (navigating worksheets, data entry, and using basic search functions).
  • Languages: Fluent in Arabic; basic understanding of English text in data entry forms (if necessary).

Core Competencies


  • Accuracy and reliability in data entry.
  • High attention to detail: the ability to spot minor errors in writing, missing numbers, or quickly flipping numbers.
  • Reliability: consistent performance when handling repetitive and high-volume writing tasks.
  • Clear communication: the ability to clearly inform the administrative information systems officer when a form is not saved, when the target does not match, or when an error appears in the system.
