Position: HR Assistant
Location: Sana’a
Reports to: HR/Admin Manager 
Duration:  10 Months

Job Purpose:

HR Assistant is responsible for tasks such as organizing and maintaining personnel files, assisting with recruitment and hiring processes, managing employee benefits and leave, and providing general support to project staff on human resources-related issues. Additionally, the HR Assistant may assist with the development and implementation of HR policies and procedures, which help to ensure that project staff are supported and that the project operates in compliance with legal and ethical standards. The HR Assistant may work closely with other project staff, such as the Project Manager or the Finance Officer, to ensure effective communication and coordination around HR-related matters.

 Duties and Responsibilities:

  • Participate in the recruitment of the project staff includes inviting candidates for test & interview, organizing the venues etc.
  • Upon completion of the selection process, inform selected candidates on the terms and conditions of employment and necessary documentation to be submitted.
  • Conduct initial orientation to newly hired employees as assigned.
  • Ensure all project staff files are complete with all required documents and up to date including salary payment slip, evaluations etc.
  • Monitor staff attendance and ensure that all staff timesheets are submitted and filed on time.
  • Ensure and maintain daily management of the attendance sheet for all project staff.
  • Update the leave trackers for all staff and create updated trackers for other tasks as needed.
  • Provide HR administrative support.
  • Assist on payroll preparation by compiling and reviewing relevant documents such as timesheets, loan requests.
  • Undertake and maintain HR archives in accordance with the organization regulations.
  • Other daily tasks requested by HR/Admin Manager.

Qualifications and Experience:

  • University degree in a relevant Field.
  • At least two years of experience in similar position, preferably with an INGO.
  • Knowledge of Human Resources and general HR/ practice including recruitment.
  • Knowledge of labor laws, government regulations.
  • Able to multitask, prioritize, and manage time efficiently.
  • Flexible, and have the ability to cope with stressful situations.
  • Excellent English and Arabic language skills (oral and written).
  • Excellent written and verbal communication skills.
  • Proficient in computer applications (MS Office, including Outlook for email).
  • Strong organizational skills.
  • Strong interpersonal and intercultural skills.
