Background about the Organization:
A humanitarian, independent, non-profit, non-governmental organization that works across Yemen. It is a professionally managed NGO, active in individual and community related issues. The primary focus is on the problems of the poor; in their struggle to obtain a life of justice and dignity. Environment stabilization, humanitarian work, education, water and sanitation, food security and empowerment of the community for self-governance are the most important components of its mission. Gender justice, natural resource management, and livelihood security are the organization primary areas of concern. Maternal and child health, nutrition, child rights and youth empowerment are also within the main focus of the organization, due to the belief that women are a pillar in society, and that children and youth are the organazation for a brighter future for Yemen.
Core responsibilities:
1. Receive procurement requests from different sections and prepare purchase plans with a view of ensuring cost effectiveness, timely procurement and quality of goods.
2. Ensure procurement procedures are carried out in line with the organization and donor policies.
3. Ensure donor procurement policies, guidelines and specific requirements are strictly met.
4. Establish and maintain ethical and professional working relationships with suppliers.
5. Review procurement plans to ensure that program activities are accomplished.
6. Coordinate with Finance, Admin and Program departments to ensure integrated internal controls, timely payment of vendors and full, auditable support documentation.
7. Ensure that all supplies, services and equipment required are delivered on time.
8. Manage logistics, procurement, vehicle fleets, equipment, transportation and distribution of food and non-food items.
9. Ensure that reports are compiled and reported systematically to the organization and donor systems.
10. Ensure management of vehicle fleets is in line with the organization standards; ensure appropriate allocation and safe use of vehicles throughout the program and ensure servicing and maintenance schedules are adhered to.
11. Ensure stock management and administration systems are implemented.
12. Monitor projects stock levels and advise on appropriate stocking and replenishment to meet project demands and insert all the information’s in the organization and Donor systems.
13. Ensure that asset register is maintained; ensuring that all assets are logged, issued with unique the organization and donor assets mechanisms.
14. Update, monitor and coordinate all Gift-In kind (GIK) management, issues and the organization and donor GIK management procedures.
15. Ensure that all warehouse stocks are active, updated and data transactions are accurate.
16. Respect and follow the organization policies.
17. Perform any other related tasks by the organization management.
Requirements:
1. Batchelor degree in Administration /Supply chain management or equivalent.
2. At least 3 years relevant work experience in Logistics in the same position.
3. Experience in international development and non-profit organizations.
4. Good computer skills; word, excel, PowerPoint and database.
5. Excellent communication and interpersonal skills.
6. Ability to work independently and as part of a team.
7. Language Proficiency: Fluency in English and Arabic is essential.
