Taybah Foundation for Development (TFD):

Taybah Foundation for Development is a Yemeni development institution working in the areas of health and education. It was established in 1996 under the license of the Ministry of Social Affairs and Labor No. 25.  Taybah seeks to provide quality health and education services in partnership and cooperation with all concerned and interested parties in accordance with the development plans of local authorities.
 
Role Purpose

Carrying out procurement, warehousing, transport and fleet activities for the project as per the TFD’s and donors’ policies.

Position Overview

Follow-up and ensure best logistics Support to project and staff are provided to the end users/requestors with respect to timeline, cost and quality. Complying with the highest ethical and integrity and ethics.

Duties and responsibilities:

  • Ensure adherence to organization policies and guidelines.
  • Ensure proper archiving of logistics documents.
  • Promote and share ideas to improve the logistics function.
  •  Ensure procurement plans are developed and followed according to applicable organization regulations.
  •  Ensure that all procurement processes are in compliance as per the TFD’s and donors’ regulations and policies.
  • Liaise with suppliers to ensure prompt and accurate delivery of services, equipment and tools.
  • Supervise the receipt and dispatch of supplies, purchases and required materials to the concerned party.
  • Warehouse management and stock control.
  • Ensure that the organization's fleet is properly managed including proper use, maintenance, and consumption reports.
  • Ensure that all drivers follow the organization's driving rules and policies.
  • Ensure all organization vehicles are regularly serviced and able to operate safely (including check-ups).
  • Ensure that vehicle movement is properly recorded (eg log books, fuel consumption, etc.)
  • Receive purchase requisitions and verify all relevant details and documents.
  • Develop a standard list of suppliers database, while adhering to the institution's policy and procedures.
  • Ensure effective and efficient logistical support for daily operations including procurement etc., all of which are carried out in accordance with approved policies and standards, as well as budgets.
  • Participate in the tender process including the preparation of tender documents related to building materials and equipment.
  • Follow up on the process of purchasing tools, organizing their delivery and processing payment.
  • Ensure that Procurement and Logistics status reports are updated at all times and shared appropriately.
  • Carry out all that is entrusted to him by his direct supervisor within the framework of his work

Requirements: 

  • Bachelor's degree in Management/Logistics or any other related field.
  • Two years of work experience in the field of procurement and logistics.
  • Computer proficiency and its applications, especially MS Office applications.
  • Proficiency in spoken and written English
  • Ability to exercise sound judgment and make decisions with limited supervision.
  • Extremely flexible, and have the ability to cope with stressful situations and frustrations.
  • Ability to relate to and motivate local staff effectively.
  • Creative and able to work with limited resources.
  • Ability to effectively present information and respond appropriately to questions from senior managers in the field and head office, counterparts and government.

Work Conditions

The position will be based in the TFD Al-Khawkhah Office, with field trips outside the city/town, within target Governorates. The candidate will need to be flexible on time depending on the project's needs. Regular working hours will be 08:00 to 15:00, but may require flexibility as the work dictates.
