Job title: Receptionist
Report to: Accountability Officer
Location: Sana’a 
Contract Duration: Until December 31st, 2024, renewable based on fund availability and performance 

KEY RESPONSIBILITIES:

  • Welcome refugees and asylum seekers into the reception office and assist with their requests appropriately.
  • Verify data of refugees and asylum seekers in the information management (IM) system and log additional required information.
  • Address inquiries and issues raised by refugees and asylum seekers in coordination with the protection officer/assistants.
  • Provide comprehensive support to refugees and asylum seekers within the drop-in center, ensuring their needs are met effectively and with empathy.
  • Refer individuals to relevant partners or service providers (e.g., legal, medical, psychological) when necessary.
  • Track the outcomes of both internal and external referrals to ensure effective case resolution.
  • Facilitate case closure for all individuals, aiming for a smooth process.
  • Serve as a feedback point for complaints and inquiries.
  • Coordinate, organize, and participate in awareness sessions.
  • Provide periodic reports to the direct supervisor, including an overview of achievements, challenges, and proposed solutions.
  • Maintain a safe reception area, adhering to safety regulations.
  • Perform other duties as assigned by the supervisor or project manager.

REQUIRED SKILLS & EXPERIENCE:

  • A BA in Social Service or business administration or equivalent is required.
  • 3 years of employment experience in a similar field is required also,1 year of employment in an NGO and INGO is preferred.
  • Excellent in English and Arabic Languages.
  • Attention to detail; accuracy and a structured way of approaching tasks.
  • Proficiency in Microsoft Office applications, particularly Excel is required. 
  • Excellent interpersonal and communication skills.
  • Excellent people skills.
  • Ability to deal with heavy work pressure.
  • Self-motivated, results-driven, and excellent sense of organization.
