Mission/ Core purpose of the Job:
The Warehouse Issuer Coordinator in the warehouse is responsible for overseeing and coordinating the issuance of materials and equipment from the warehouse to internal departments or external sites or other stakeholders. This role involves managing the issuing process, maintaining accurate records, coordinating with stakeholders, and ensuring efficient warehouse operations. The Warehouse Issuer Coordinator plays a crucial role in maintaining inventory accuracy and facilitating the smooth flow of materials and items to targeted destinations following the standard processes and procedures.
Key Responsibilities:
- Coordinate and oversee the issuance process of telecommunication materials and equipment from the warehouse to internal departments or external sites and destinations..
- Receive requests for materials or equipment from internal departments or customers, and verify the accuracy of the requests against inventory records or purchase orders.
- Prepare materials and equipment for issuance, ensuring proper packaging, labeling, and documentation based on established procedures and guidelines.
- Coordinate with internal stakeholders, such as project managers, technicians, or customer service representatives, to schedule and prioritize material issuances, ensuring timely delivery.
- Update inventory records and documentation accurately to reflect the issuance of materials or equipment, keeping track of stock levels and maintaining inventory accuracy.
- Collaborate with the warehouse management team to optimize the issuing process, identify areas for improvement, and implement best practices to enhance operational efficiency.
- Coordinate with other warehouse teams, such as inventory control and receiving, to ensure accurate inventory counts and resolve any discrepancies related to material issuances.
- Ensure compliance with established procedures, safety regulations, and quality standards during the issuance process of telecommunication materials, different items and equipment.
- Communicate with internal departments or stakeholders regarding the status of material issuances, addressing inquiries, and resolving issues promptly and professionally.
- Provide training and guidance to warehouse personnel on proper issuing procedures, safety protocols, and documentation requirements specific to the telecommunication industry.
- Receive and inspect incoming materials and equipment to ensure they meet quality standards and match purchase orders.
- Maintain accurate inventory records and utilize inventory management systems to track stock levels, orders, and shipments.
- Collaborate with procurement and logistics teams to optimize supply chain processes and minimize stock shortages or excess inventory.
- Manage the return and exchange of defective or surplus materials according to company policies and industry regulations.
- Supervise warehouse staff, provide training and performance feedback, and ensuring efficient and organized daily operations.
- Responsible on Transmission, Power, Cables and Marketing Items Sections operations such as arranging, labelling, coding and safe storage.
- Regular physical count, once a month.
- Do any other tasks related to business.
- Inventory Management: Managing the inventory of telecommunication equipment, devices, Radio Items, Tx Items, and other components and Items in the warehouse, including tracking stock levels, conducting regular stock counts, and ensuring accurate records of inventory transactions.
- Issuing and Distribution: Coordinating the issuance and distribution of telecom equipment and materials to internal teams, technicians, or external contractors according to approved requests and work orders. This involves accurately picking, packing, and preparing items for shipment or delivery.
- Order Fulfillment: Ensuring timely and accurate fulfillment of internal orders for telecom equipment and materials, maintaining efficient order processing workflows, and coordinating with relevant stakeholders to meet delivery deadlines.
- Documentation and Record Keeping: Maintaining accurate records of all incoming and outgoing equipment and materials, including recording serial numbers, part numbers, quantities, and other relevant information. Ensuring proper documentation and filing of delivery notes, packing lists, and other related paperwork.
- Quality Assurance: Conducting quality checks on incoming and outgoing equipment to ensure compliance with specifications and standards. Inspecting items for damages, verifying serial numbers or IMEI numbers, and reporting any discrepancies or issues to the appropriate teams.
- Warehouse Organization: Ensuring the physical organization and cleanliness of the warehouse, including proper storage and labeling of items, optimizing space utilization, and implementing safety measures to prevent accidents or damage.
- Stakeholder Communication: Collaborating with various internal teams such as procurement, logistics, project management, and field technicians to coordinate equipment needs, resolve issues, and provide timely updates on order status and availability.
- Process Improvement: Identifying areas for process improvement within the warehouse issuance and distribution operations, proposing and implementing solutions to streamline workflows, enhance efficiency, and reduce errors or delays.
- Compliance and Security: Adhering to company policies, procedures, and regulatory requirements related to inventory control, equipment tracking, data protection, and security protocols. Ensuring compliance with health and safety regulations within the warehouse environment.
- Performance Reporting: Generating regular reports on key metrics such as order fulfillment rates, inventory accuracy, on-time delivery performance, and equipment availability. Providing insights and recommendations for improvements based on performance data.
Educations:
- High school diploma in Telecom or equivalent.
Experience:
- 2 Years’ Experience in issuing Telecom items, inventory management and quality control.
