Role

With Head of Support to ensure the efficient management of finance and accounting services for Geneva Call, including cash flows, payments, reporting and compliances on finance and accounting mattes.

Core responsibilities

The main tasks include as follow:

  • Providing support on the regular updating of projects and country annual budgets and Regular budget Vs Actuals.
  • Drafting of monthly BvA, finalize with Head of Support (HoS) for presentation to management.
  • On regular (daily basis) Complete the financial accounting matters on regular basis, including maintenance of all payment’s ledgers for cash, banks, receipts, adjustments on internal/external advances, accruals, balance sheet items.
  • Recording regularly the payments and adjustments transactions in Continia (online accounting system) to be reviewed by HoS. Update the Summary of transactions (SOT reports), monthly reconciliations (cash banks advances accrual adjustments), receipts (income, HQ, adjustments), currency exchanges, all payments and payroll related transactions.
  • Representation to tax, social security and related authorities on regular basis and when and when needed. Ensure best practices related to local social security and taxation. Participate on different forums (groups, meetings, workshops) for the finance matters.
  • Maintain the cash flow requirements of the Yemen country programme (obtaining forecasts, draft monthly forecast, share to HQ), liaising with Geneva Call HQ to facilitate cash transfers.
  • Assist on the financial management of the staff program advances issuance, ledger entries, clearance, adjustment, expenses allocations, entry into Continia, submission to Head of Support (HOS) for approvals.
  • Manage the financial accountings process for the local implementing partners, including all adjustments.
  • Ensure the donor and organizational compliances before Purchase orders POs, by having due diligence checks on suppliers, vendors, employees, partners, consultants, trainers and all related parties.
  • Assist on audit matters, and directly coordinate with auditors’ staff for audits execution matters. Ensure documentations and records ready for the donor reporting matters and help Head of Support (HoS) on donor reporting matters.
  • Assist the monthly finance or accounts closing process by regular entry into ledgers for cash banks adjustment advances accruals, SoT. Ensuring HQ deadlines are met for continia reports, SoT and other monthly financial reports. Ensure submitting all reconciliations on time.
  • Independently supervise and ensure availability and retainership of proper supporting documents and systematic filing system for the payments and adjustments on timely basis for all payments, receipts, banks, vendors, taxes, social security and payroll.

Main qualifications

Education

  • Completed degree of Higher Education in relevant field such as management, or Finance, commerce or equal university degree.

Languages

  • Besides Arabic Excellent English is must for this role.

Experience and Technical knowledge required

  • 3+ years of relevant experience in the fields of finance function only in INGO.
  • 2+ years of experience of running online systems for accounting.
  • 2+ years of experience of accounting principal methods, rules. Knowledge and experience of GC related donors’ compliance matter on finance, accounting, reporting, and donor auditing.

Personal qualities

  • Good report writing, communication and presentational skills.
  • Organized personality for keeping more better records on various support processes matter.
  • Advanced level knowledge of MS Excel and accounting systems.
  • Strong interpersonal skills including ability to work with geographically remote individuals.
  • Fluent in English and Arabic: Written and spoken with demonstrable track record in presentation and interpersonal skills.
  • Understanding and respect for organizational principles and confidentiality.
  • Strong logic and organizational skills, flexibility, and adaptability to change.
  • Independent initiator, Leadership qualities and unwavering integrity. Can maintain confidentiality of records and information on support functions.
  • Ability to work independently as well as in a team.
  • Proven ability to work well with colleagues and partners from diverse ethnic/cultural backgrounds.
  • Accuracy and reliability, ability to reach results and meet deadlines under pressure.
