Job Description

The Role

We are looking for Project Coordinator to perform the follow responsibilities:

  • Be responsible to organize kick-off workshop with related Oxfam departments and co-applicant’s employees. Donor’s requirement from programmatic and compliance perspective should be discussed with the co-applicant and Oxfam staff during this workshop.
  • Be responsible to finalize work plan, risk and mitigation matrix, forecast, activities description/Term of reference for Oxfam’s assigned activities as well as provide support to finalize similar requirements for the co-applicant’s activities.
  • Support on signing sub-agreement with local authorities in the south (Aden) in coordination with liaison department.
  • Represent the project on behalf of Oxfam during project update meetings with donors as and when required. Develop an action point matrix for this project based on these meeting. It is important to share this matrix with related technical department such as advocacy, gender justice, and programme humanitarian coordinator.
  • Be responsible to finalize donor’s narrative reports and working with finance department to finalize financial reports as well. s/he shall coordinate with co-applicant to receive their narrative and financial reports as per a signed letter of agreement between Oxfam and the co-applicant.
  • Ensures best practices are documented, innovations disseminated, and case studies are collected for the report.
  • Ensure that project team understand reporting procedures and timelines.
  • Collaboratively with the Civil Society co-applicant develop a regular working relationship with relevant government stakeholders.
  • Support the establishment of a monitoring and documentation system that is agreed with project’s co-applicant and reflects the reporting requirements of the project.
  • Track monthly budget vs actual expenditure and report to finance on variances.
  • Ensures appropriate expenditure on a monthly basis and takes corrective measures by revisiting plans and communicating in the timely manner to the project and finance team.
  • Support in development of capacity strengthening ToRs related to targeted WROs and CSOs in institutional and programmatic areas in close coordination with the co-applicant.
  • Identify research/policy/ briefing opportunities based on the project findings with support from advocacy and campaigning department and coordination with the co-applicant during the project’s lifetime.  
  • Any other tasks proposed by line manager in line.

The ideal candidate should meet the following requirements:

Essential

  • Skills in adaptive management
  • Good understanding of the policy issues associated with the civil society sector in Yemen.
  • Strong project/program development and overall project management skills
  • Higher degree of taking initiatives and has ability to work independently.
  • Strong leadership and managerial capability
  • Proactive and assertive
  • Sound interpersonal skills and ability to work in a multi-cultural environment.
  • Proficiency in writing technical and programmatic reports that document program directions and result.
  • Partnership management(both government and non-government ) skills
  • Ability to work in a stressful and changing environment with limited resources.
  • Knowledge of EU regulations and compliances
  • Experience in human rights mentoring, peace building, and gender justice project and preferably with EU projects’ background.
  • Demonstrable experience of delivering institutional capacity, governance, and communication work.
  • Excellent verbal and written communication skills, strong negotiating skills and ability to persuade, motivate and influence internal and external stakeholders.
  • Strong team-player with ability to show leadership in complex and challenging environment.

Desirable:

  • Understanding / experience of WROs and CSOs working environment in Yemen context.
  • Coaching or mentoring experience.
