In Yemen, JSI has been managing public health programs since 1988, focusing on improving child health and routine immunization, strengthening the supply chain, and improving reproductive, maternal, and newborn health.

Project Overview

The Strengthening Healthcare Access in Yemen (SHAY) project is a five-year USAID-funded initiative aimed at enhancing access to and equitable utilization of evidence-based maternal, newborn, and child health; nutrition; family planning; and reproductive health (MNCHN/FP/RH) services in Yemen. Led by JSI, the project collaborates with partners to employ a community-led strategy encompassing demand generation, supply-side reinforcement, and enabling environment support. Through engagement with midwives, community reproductive health volunteers, and community structures, the project will create awareness, facilitate access, and enhance care quality. 

Position Description:

The Operations Assistant position for The Strengthening Healthcare Access in Yemen (SHAY) will be responsible for: 

 Key Responsibilities:

  Procurement 

  • Support the Procurement Officer in the procurement processes, and ensure awareness and adherence to all JSI and USAID procurement policies and procedures.
  • Ensure that an up-to-date and accurate procurement tracker is maintained from request to final receipt and closure of file.   
  • Ensure up-to-date and accurate filing and maintenance of procurement records for easy access and retrieval both electronically and manually as may be required for audit trail.
  • Support the procurements or distributions of program activities from field level.
  • Perform any other task as assigned by the supervisor.

     Vehicle & Fleet Management

  •  Support the Logistics & Property Officer in managing all vehicles in accordance with JSI and USAID policies and procedures.
  • Coordinate with the Logistics & Property Officer for any matters related to vehicle rental service provider, such as monthly payments ... etc.
  • Ensure drivers adhere to and respect all vehicle policies and procedures as well as adhere to all local and national laws in coordination with the Logistics & Property Officer.
  • Support the Logistics & Property Officer in managing and tracking of the generator’s status and fuel.
  • Perform any other task as assigned by the supervisor.

     Inventory and Admin Management

  • Support the Operations Manager to ensure proper maintenance of project inventory for non-expendable equipment including tagging of equipment and furniture, tracking its location and condition.
  • Ensure up-to-date and accurate inventory tracker is in place for all non-expendable equipment/goods under Logistics & Property Officer.
  • Support on the tagging/labeling of all JSI assets and equipment using appropriate serial numbers and sequences.
  • Ensure safe storage and custodianship of all JSI assets and equipment and schedule repairs/maintenance as needed.
  • Ensure the required office/kitchen supplies, stationery and any required maintenance.
  • Support project meetings, workshops, and conferences by making the related logistical arrangements such as hotel booking…etc.
  • Manage the staff mobile credit recharge on a monthly basis. 
  • Perform any other task as assigned by the supervisor.

Qualifications and Requirements:

  • BA degree in a related field (Business Administration, Logistics Management) or any related field is required.
  • At least two years’ experience in similar role.
  • Proactive and result-oriented with a strong ability to coordinate between different teams and individuals.
  • Experience working for an NGO is preferred.
  • Ability to multi-task with a high level of accuracy and attention to detail.
  • Excellent written and verbal English skills.
  • Strong communication and interpersonal skills.
  • Ability to deal appropriately with sensitive issues and maintain a high level of confidentiality at all times.
  • Proficiency in Microsoft Suite preferred.
  • Willingness to travel to the field on occasion.
