NPA is seeking a Logistic Assistant for its program in Yemen.

Job purpose.

The Logistics Assistant is responsible for assisting NPA Logistics Officer in purchasing and other logistics activities. he is to ensure that all logistics activities are carried out in compliance with NPA policies and procedures and donor requirements, while respecting NPA standards and procedures and the security rules in force. The position is based in Aden with travels within the country

Responsibilities.  

The Logistics Assistant is part of the team and supports the Logistics Officer.
The position reports to the Logistics Officer

Responsibilities:

Procurement management:

  • Carrying out the purchases of a supply office on the basis of purchase documents issued by the log officer and managing the administrative and accounting procedures related to purchasing.
  • Obtain different quotations from suppliers according to the Purchasing procedure. directly assessing the local market, seeking products and suppliers that offer the best value for money, and negotiating prices.
  • Requesting invoices or receipts, without delay, for all purchases, checking they are correctly filled, and translating information written in the local language before approval.
  • Regularly updating the supplier-item-price data on the supply office. Informing the Logistics Officer of all information or modifications to the "item-supplier" data: price, address, items available
  • Purchase goods ensuring the optimum price/quality ratio on the market
  • Collecting quotations and checking prices for the purchase of goods and services.
  • Ensure that the suppliers fill in all receipts/invoices for local purchases correctly
  • Translate receipts/invoices written from Arabic into English
  • Upon request by the Logistic Officer carriers out a market survey.
  • Ensure the delivery of all purchased items to the requester, collects the proof of delivery, and proceed to the validation of the invoices.
  • Transmit a supply reports to logistic Officer on a weekly/monthly basis.
  • General logistical Knowledge.
  • Be flexible in performing his/her duties.
  • Managing the logistic department when the logistic officer is on leave.

Required qualification

Education

  • Bachelor’s degree in relevant field
  • One year of work experience in purchasing or logistics related work.  
  • Good command of English and Arabic - both speaking and writing;
  • Good computer and IT skills.

Experience

  • Degree/Diploma in logistic management 
  • Work experience working with INGOs or the UN
