The ICRC is looking for a suitable candidate to fill the position of: 

WatHab Assistant at Coordination _ SAN

Contract type              :           One-year contract (extendable) 

Number of Posts         :           1 Post

Duty Station               :            Sana’a

Purpose:

The Wathab assistant at coordination provides high-level administrative support and is in charge of information management. S/he acts as a reference person for written protocols, correspondence and standard tools.

Accountabilities & Responsibilities 

  •   Ensures information flows are coherent and efficient, that WatHab procedures (like statistical reporting and projects cycle documents) are updated and applied, and that all WatHab members are properly briefed and trained.
  •   Managing Administrative (MoU, LoA and waivers review) and Logistic tasks and follow-up
  •   Manages and monitors collaborative tools and databases, including access, and ensures that information is updated in the reference tools; acts as a reference person for WatHab department
  •   Screens, prioritizes, dispatches and follows up on requests, calls and correspondence; independently manages appointments and organizes internal and external meetings and events; represents the WatHab department to high-level contacts and counterparts. Prepares implementation/progress reports.
  •   Is a member the WatHab coordination team and participates in discussions, follows up on the implementation of some decisions and part of the yearly budget exercise; flags issues and delays; produces and updates the timeline, schedule and other tools.
  •   Independently initiates, drafts, edits and finalizes correspondence, presentations and other documents; prepares briefing files.
  •   Ensures that all WatHab staff members are briefed and/or trained on information management, written protocols and correspondence, rules on signatures and the protection, use and storage of office supplies, records management, archiving, and information-management tools; ensures staff comply with related rules and procedures.

Certifications/Education Required

  •   High school diploma or equivalent training
  •   University degree or equivalent certification or experience or masters degree an asset.
  •   Excellent command of English
  •   Computer skills, including Microsoft Office suite, SharePoint and IBM Lotus Notes.

Professional Experience Required      

  •   Minimum five/four years' experience providing executive support in an international organization or company.
  •   Experience coordinating a team.
  •   Experience in project management and follow-up
