An Overview about ADO

Abs Development Organization for woman and Child (ADO) is a well-established national, humanitarian, developmental, non-profit and non-governmental organization, founded in August 1996 by a group of Yemeni girls to provide a better life for women, children, and youths. ADO has been operating in Yemen for more than 27 years with an outstanding coverage to the deprived rural areas located on the coast of Tehama and other various areas in Yemen aiming to get rid of poverty and infectious diseases. Since its inception, ADO has implemented over 213 developmental and humanitarian projects. According to ADO latest cumulative statistics, by end of the year 2021, a total of  6,695,412 people were benefited from these interventions. Consequently, the organization has established itself among the most effective civil society organizations in Yemen that are working on issues related to livelihood, health, education, and WASH supporting women, children, and youth. Operating from its Headquarter office in Sana’a, and through its branch offices in Al-Hodeidah, Hajjah, Abs, Raymah Taiz and Aden, ADO provides educational, health, livelihood and WASH services to urban and rural communities. As ADO believes that women are the essence of life, it has devoted all its activities and programs to empower and educate women who will lead to a modern and just state. ADO also believes that protecting and caring for children will result in a prosperous future; free from crime and terrorism. Furthermore, ADO believes that youth are the potential and driving force of any modern civil society.

Job objectives/ Scope    

The project manager is expected performs all related to project duties including the following:

1.    Developing programs/projects/Activities.
2.    Ensure proper professional relationships with stakeholders including community leaders, local authority, existing NGOs and other Community-Based Organizations
3.    Perform other duties that may be required by Programs Manager and Senior management.

Reporting to: Program Manager& executive directors 

Supervised staff:  All project team

Duties and Responsibilities

The overall project manager duties and responsibilities:

Planning:

1.    Define the scope of the projects in collaboration with senior management.
2.    Create a detailed implementation work plan (DIP) which identifies and sequences the activities needed to successfully complete the project.
3.    Determine the time, equipment, etc required to complete the projects.
4.    Review the Project schedule with senior management and all other staff that will be affected by the project’s activities; revise the schedules as required.
5.    Determine the objectives and measures upon which the projects will be evaluated at their completion.

Implement the project/s:

1.    Implement the projects activities according to the project’s plans.
2.    Develop forms and records to document project activities.
3.    Set up files to ensure that all projects information is appropriately documented and secured
4.    Monitor the progress of the projects and make adjustments as necessary to ensure the successful completion of the projects.
5.    Establish a communication schedule to update stakeholders/ the donor including appropriate staff in the organization on the progress of the projects.
6.    Review the quality of the work completed with the project’s teams on a regular basis to ensure that it meets the projects standards, targets, and objectives.
7.    Manage the transfer of Projects deliverables, files, equipment and materials as per the standards donor’s procedures
8.    Provide direction and leadership in advocating projects objectives and in ensuring that all interested parties are well informed about the projects’ activities and goals.
9.    Identify any support and advice required for the management, planning and control of the Projects
10.    Responsible for writing scheduled high quality narrative and indicator reports for the ongoing project.
11.    Provide technical support for data collection and analysis processes, and ensure that the various health, nutrition, and protection databases are maintained and updated.
 
Control and evaluate the project

1.    Write reports on the projects for management and for funders.
2.    Ensure that projects related docs are up to date.
3.    Ensure that the projects deliverables are on time, and at the required level of quality.
4.    Evaluate the outcomes of the projects as established during the planning phases.
5.    Conduct monthly internal and external M& E reports together with the M&E department.
6.    Conduct personnel evaluation performances each 4 months or as required.
7.    Ensure the quality of outputs and results with optimal monitoring mechanisms; establish effective coordination, monitoring, information sharing and reporting systems.

Others

1.    Ensure proper professional relationships with relevant national and international partner agencies, relevant of meetings
2.    Responsible for representing Humanity’s strategic objectives, mission, and values in a highly professional manner.
3.    Plan community–based activities and ensure Humanity visibility, voice, mission, and values are reachable to communities, national and international organizations, donors, governmental entities.
4.    Responsible for project staff capacity building and development and plan and administer trainings as needed and related fields.
5.    Responsible of data analyzing of reports of all project’s components and briefing programs manager regularly
6.    Take action to mitigate any risks facings projects implementations, activities, staff, and beneficiaries. Report on such risks immediately.
7.    Ensure all required projects close out documents are obtained, and all narrative reports are done in a timely manner
8.    Maintain flexibility to take any added responsibility as and when needed.
9.    Maintain flexibility to take any required work trips to projects sites, or offices at other cities and/or villages within the project location.
10.    Responsible for conducting assessments and gathering data to identify geographical and humanitarian response gaps and areas of focus for Humanity‘s programming

Experience and Qualifications    

1.    Related degree or have at least 3 to 5 years related experience
2.    Fe/male applicant/ national staff
3.    Demonstrated experience in project and administration
4.    Experience in project management
5.    Experience in Sports projects and related programming
6.    Proven experience liaising with government departments, UN agencies, and donor projects
7.    Fluent in the local language and English is preferable.
8.    Advanced communication skills, including active listening skills and excellent written communication.
9.    Exceptional professionalism and interpersonal skills and an ability to work collegially with team members and stakeholders.
10.    Ability to represent the organization and its objectives in highly professional and responsible manner.
11.    Ability to allocate and review priorities to meet deadlines.
12.    Proven ability to draft, edit and produce written proposals and results focused reports
13.    Flexibility in approach and an ability to adapt to varying demands and work hours
14.    Ability to identify problems and resolutions.
15.    Ability to work unsupervised
16.    Proficient skills and experience in working on MS Office

Skills / Knowledge     

Analytical Skills. analytical skills to assess the scope, the resources needed and the success of the project. Also, project manager must interpret data on the project. As well as the needs or views of the people being helped or donors solicited to support the project.

Interpersonal Skills: must be able to respond effectively and with acknowledgment on the stakeholders’ numbers and the project. The interests of stakeholders often differ and may come into conflict. Moreover, interpersonal skills include the ability to report and receive suggestions. As well as concerns and other comments from project volunteers and workers, supervisors, directors and members of ADO.

Public Relations Skills: skills in communicating clearly, crafting statements carefully, answer questions or otherwise inform the public and others about projects or ADO. Skills in public relations also consist of highlighting the benefits and reasons for the project. And presenting convincing arguments for sometimes controversial stands. Also, the project manager should be able to lead staff and volunteers in telling influential and moving stories about those benefiting from a project.

Technological Skills. The tools of project manager consist heavily of PowerPoint, word processors, publishing software and other applications. They are all used to present plans, reasons for the project, and benefits. Often, success stories are told with images and video presentation more than written reports. project manager also needs skills in using social media in order to post videos and images. As well as narratives about the purposes of the project and those helped.
