Job Information

  • Job Title:  Project Assistant (Field Facilitating and Monitoring) (3)
  • Location: Sana’a - Al Hudaydah(Bajil) - Al Mahwit
  • Contract Type: Full Time.
  • Contract Duration: 5 Month.
  • Start Date: As soon as possible.

Key Responsibilities:

For each selected governorate a facilitator and monitoring field project assistant will be engaged to cover the following tasks under the supervision of the Project officer:

  • Responsible for coordinating with local authorities at the gov/local level, consolidating, and ensuring smooth implementation of project and operations’ activities and adherence to logistic, administration procedures.
  • facilitating the data collection process (online/field level).
  • collecting and reporting of face-to-face rumors on a weekly basis by preforming listening groups / community events.
  • organizing and facilitating focus group discussions.
  • organizing events with target communities and CSOs to present the Information Ecosystem assessment report.
  • organizing events to build relationships between local media and humanitarian and health partners which could include, but are not limited to, roundtables, expert panels, bilateral meetings, webinars, and taskforces. (1st Month) obtaining relative authority approval, conducting recruitment procedures.

Provide administrative support to ensure that project activities are maintained in an effective, up to date and accurate manner:

  • Assist in preparing periodic reports/ project reports/ update project files.
  • Be responsible for day-to-day project correspondence/information sharing.
  • Assist project staff in arranging logistics activities, when necessary.
  • Participate in identifying needs and feedback to the project Manager/Officer.
  • Assist in activities planning, and implementation alongside the project.
  • Collect and analyze project data including preparation of graphs and visual data from field teams.
  • Assist the Project Manager/Officer in following up on the activities at the field level in accordance with the plans.
  • Assist in budget tracking and ensure that the team's requirements are based on the available sources and budget.
  • Maintain safe and easy archiving mechanism of all project documents.
  • Provide the project manager/officer with all data and updated information weekly, monthly, and when needed.
  • Handle requests for information and data related to the assigned project.
  • Support all project daily administrative activities.
  • Support the circulation of relevant information, reports memos, and any other related documentation as well as with the partners and other stakeholders.
  • Assist the project coordinator in reporting on the project as required by the various funding organizations and bodies.
  • Schedule and coordinate meetings, appointments, and workshops related to project activities.
  • Attend meetings of the project partners and stakeholders where appropriate.
  • Perform assigned related tasks by the supervisor and project management.
  • Maintain staff attendance including recording of staff leaves.
  • Assist in preparing periodic reports/ project reports/ update project files.
  • Be responsible for day-to-day project correspondence / information sharing.
  • Assist project staff in arranging logistics activities, when necessary.
  • Maintain a proper filing system for project documents.

Provide financial assistance to project accountant:

  • Processes the advance clearance and reviews its supporting documents.
  • Ensure all financial documents are in order; manage records, file invoices, receipts, delivery orders and contracts.
  • Assist in the procurement process.
  • Assist the Accountant in keeping track of all contracts and ensures that payments and repayments are made on time.
  • Participate in periodic inventories of project/office fixed assets.    

Qualifications & Experience:

  • Bachelor's Degree in Business Administration/Accounting or relevant field.
  • Prior one-year experience in an Administrative, Financial and field position is preferred.
  • Very good spoken and written Arabic and English.
  • Excellent computer skills including the usage of Microsoft office.
  • File Archiving skills.
  • Very good business correspondence and report writing skills.
  • Very good communication and interpersonal skills.
