Vacancy: HR Assistant (1 vacant position)

Position Status: Full-time

Location: Ad Dahi District, Hodeida Governorate, Yemen

Contract Duration: 1-year contract with a probation period

Doctors Without Borders / Médecins Sans Frontières (MSF) is an international, humanitarian, non-governmental organisation providing assistance to people in need as a result of natural and man-made disasters, irrespective of race, religion, ideology, or politics.

Main Purpose

Execute administrative, HR, and legal-related tasks to support the Project HR Manager following MSF standards and procedures, in order to ensure legal compliance and to realize the HR capacity required to achieve project objectives.

Accountabilities

  1. Under supervision of the Project HR Manager, managing personal files in order to ensure accuracy, compliance, and on-time payments.
  2. Updating the HR database and personal files to facilitate HR processes management.
  3. Updating Social Security Tax office files to meet legal requirements, including specific amendments when necessary to ensure local labor and fiscal law compliance.
  4. Preparing employment contracts in conformity with legal requirements, including specific amendments when necessary to ensure local labor and fiscal law compliance.
  5. Preparing monthly pay slips for all staff, editing and updating the necessary data to ensure the punctuality and accuracy of staff payroll.
  6. Following up on all expiring rental contract dates and informing the Administration Manager to arrange renewal or look for other alternatives.
  7. Making all administrative information available to the staff (posting, meetings, etc.), supporting the Project HR Manager in translating documents into the local language and assisting in meetings upon request.
  8. Additional HR/Admin tasks delegated by the Project HR Manager.

MSF Section/Context Specific Accountabilities

  • Recruitment process: calls for tests and interview arrangements (including tests for other OCs).
  • Daily Workers: calls and records for reporting.
  • MoH Incentive staff: nominations follow-up, accurate payments.
  • Service contracts: drafting and payments follow-up.
  • Collecting and preparing information for the Foodbox.
  • Stationery & coffee break: ensuring proper inventory management/distribution and submitting the internal request.
  • Medical card insurance: follow-up according to MSF policy.
  • Supervision of cleaning/cooks staff.

Requirements

Education

  • Desirable finance, business, or administration-related diploma.

Experience

  • Essential previous working experience of at least two years in relevant jobs (administrative tasks).
  • Desirable experience in MSF or other NGOs in developing countries.

Languages

  • Essential fluency in Arabic and English.

Knowledge

  • Essential intermediate level in Word, Excel, and internet.
  • Desirable Homere knowledge (internal MSF Software).
  • Essential knowledge of Yemeni Labor Law.
  • Synthesis and communication skills.
